<br />Each night, the SQL job <b>OfflineExtract</b> updates the .mdb files automatically. If you are setting up offline Polaris at a time other than at the beginning of the day, you must manually run the SQL Server job to update the .mdb files before copying them to the offline client(s). See <a href="Manually_update_the_offline_files.htm">Manually update the offline .mdb files</a>.</p>

<p>No matter whether your library is setting up offline processing to upload the offline transaction files manually or automatically, you first need to copy the <b>PolPatron.mdb</b> and <b>PolSystem.mdb</b> files from the server to the designated offline workstations, either by manually copying the files or copying them automatically.</p>
|
||||
<p>To enable the Copy Offline Files job that automatically copies the . mdb files from the server to the designated offline workstations, you must create a SQL Server credential, then create a proxy account to associate this credential with the process, so that it can access and update the designated offline workstations. The credential name and proxy name can be anything you choose.</p>
|
||||

<br />If you are using automated offline processing, you must also create a credential and proxy to allow the automatic upload process. <p>To enable the <b>Copy Offline Files</b> job to automatically copy .mdb files from the server to the designated offline workstations:</p>

|
||||
<p>Your library can use Polaris offline when the Polaris server is not accessible, such as during an upgrade or when you use the Bookmobile. The offline files contain the transactions that occurred while the workstations were disconnected from the main server.</p>
|
||||
<p>To manage offline circulation in Polaris Administration, you can set up a highly automated process that copies and retrieves the offline transactions from the workstations and automatically loads them into the database, or you can opt for a more manual process for transferring and uploading the transaction files.</p>
|
||||
<p>With either the manual or automated offline process, the offline files PolPatron.mdb and PolSystem.mdb must first be copied from the server to the workstations that will be used offline. These .mdb files are updated automatically each night by the Offline Extract SQL job, but if you are copying the files to the workstations at a time other than the beginning of the day, you must run the job manually to ensure that the files are updated.</p>
|

<p> After the .mdb files are updated, you can copy them from the server to the designated offline workstations manually or automatically. To copy the .mdb files automatically, you must enable the Copy Offline Files SQL job, which automatically updates the offline files on designated workstations. The job is disabled by default because it must be run under an account that has rights to copy the files to the local workstations on a network. To create the account, first create a SQL Server credential and then create a proxy account that associates this credential with the process that allows access to the workstations. The credential name and proxy name can be anything you choose.</p>

<p>If your library is implementing automated offline processing, whereby the offline transaction files are uploaded automatically to the server, you must also set up a credential and proxy to allow this process.</p>
|
||||
<p>The procedure staff use when working offline is the same whether your library is set up for manual or automatic uploading of the transaction files.</p>
|
||||
<p class="NoteShade"><b>Important:<br /></b>The procedures described in this unit differ for Polaris Hosted customers. Polaris Hosted customers can find specific instructions for installing the Polaris staff client and working offline on the Polaris Hosted Utilities page or the Innovative Customer Supportal (<a href="https://support.iii.com/">https://support.iii.com</a>).<br /><br />To use the Automated Offline process, the Polaris system used for offline processing must be directly accessible by the SQL Server where the Copy Offline and the Automated Offline jobs and processes are executed.<br /><br />In a Polaris library with their databases running in a hosted environment, the workstations designated for offline processing must be directly connected to the SQL server to use Automated Offline. If the Polaris client is installed on a local workstation that is <i>not</i> connected to a terminal server via a Remote Desktop connection, the user must manually copy the .mdb files to work offline and must also manually copy the transaction files. </p>

<h1>Setting Up Automated Offline Processing</h1>

||||
<p>With automated offline processing, libraries can automatically retrieve offline files from library workstations and load them into the database without library staff intervention. When automated offline processing is enabled via a system-level parameter, all transactions (files with a .TRN extension) for patron registrations, check-ins, and check-outs are pulled from the designated offline workstations to the server.</p>

<br />The designated offline workstation could include a terminal server located on the same network as the library’s SQL server.</p>

<p>The process then uploads the transactions to the Polaris database, renames the .TRN files with a .DON extension, and logs the results of the upload. Upload logs are generated for each branch or for all offline branches, and then the logs are emailed to specified staff members.</p>

<p>If your library is not using automated offline processing, the offline transaction files (.TRN) files must be copied manually from the offline workstations and uploaded to the appropriate directory. You can upload transaction files to any directory, anywhere on the network share. But you must first create the appropriate <b>Polaris\[version]\offline </b>folder in that directory, before you upload the files. Administrators can specify the filepath for offline transaction files on the workstation during staff client installation.</p>

<p>When staff members are done using offline Polaris, the transaction files from each offline client must be copied to the online staff client workstation, located by default at:</p>

<p>Under certain conditions, warning messages appear in the upload report. This generally occurs when an item was checked in or checked out offline, but the circulation status is <span class="FM_Emphasis">not</span> In or Out when uploaded to online Polaris. The item that circulated offline would have caused a block or alert if it had circulated online; for example, a patron exceeds the overdue item limit at check-out, or an item that fills a hold request is checked out. The warning messages in the upload report alert the staff that some follow-up action or an automatic update by Polaris may be necessary. <p>If your library has set up automated offline processing, a System-level Patron Services parameter <b>Offline (Automated): Generate one upload log per branch </b>specifies whether one or multiple upload logs are generated. If the parameter is set to <b>Yes</b>, (the default), a log file is generated for each offline branch. If the parameter is set to <b>No</b>, a single log file is generated for all offline branches. Log files are saved to: <b>\\SERVER\c$\ProgramData\Polaris\<version>\Logs\Offline</b></p>

<p><a name="kanchor4155"></a><a name="IX_offline_transactions"></a><a name="kanchor4156"></a><a name="IX_bookmobile_upload"></a><a name="kanchor4157"></a><a name="IX_messages_list"></a>A report of warning messages is created automatically when you upload offline transaction files to the online Polaris client. The report may contain any of the following messages related to the offline transactions.</p>

<h2><b>Warning Messages for Barcodes, Blocks, Closed Day/Date</b>
|
||||
</h2>
|
||||
<p>The following situations generate warning messages in the upload report:</p>
|
||||
<p>Barcodes (invalid, unexpected, assigned)</p>
|
||||
<p class="indent">At circulation, these situations generate messages:</p>
|
||||
<ul type="disc">
|
||||
<li>An item with an invalid barcode type is circulated.</li>
|
||||
<li>An item is checked out, but the patron barcode is an invalid type.</li>
|
||||
<li>An item is checked out, but the patron barcode is an item barcode type.</li>
|
||||
<li>An item with a patron barcode type is circulated. <br /></li>
|
||||
</ul>
|
||||
<p class="indent">At patron record creation, these situations generate messages:</p>
|
||||
<ul type="disc">
|
||||
<li>A barcode format is for an item instead of a patron.</li>
|
||||
<li>A barcode format is unrecognized.</li>
|
||||
<li>A barcode is already assigned.</li>
|
||||

<h2><b>Item blocks</b>
|
||||
</h2>
|
||||
<p class="indent">An item is checked in with a free-text, library-assigned, or system block.</p>
|
||||
<p>1st level fine limit (by patron code and branch)</p>
|
||||
<p class="indent">A patron exceeds the 1st level fine limit at check-out/renewal. </p>
|
||||
<p>2nd level fine limit (by patron code and branch)</p>
|
||||
<p class="indent">A patron exceeds the 2nd level fine limit at check-out/renewal. </p>
|
||||
<p>Item limit by material type (by patron code and branch)</p>
|
||||
<p class="indent">A patron exceeds the number of items of a specific material type that can be checked out.</p>
|
||||
<p>Total item limit (by patron code and branch)</p>
|
||||
<p class="indent">A patron exceeds the total number of items that can be checked out. </p>
|
||||
<p>Overdue item limit (by patron code and branch)</p>
|
||||
<p class="indent">A patron exceeds the overdue item limit at check-out.</p>
|
||||
<p class="indent">A patron exceeds the overdue item limit at renewal. An overdue fine is charged.</p>
|
||||
<p>Overdue item limit (by patron code and branch) with long overdues</p>
|
||||
<p class="indent">A patron exceeds the overdue item limit at check-out and has long overdue items.</p>
|
||||
<p class="indent">A patron exceeds the overdue item limit at renewal and has long overdue items. An overdue fine is charged.</p>
|
||||
<p>Long overdues</p>
|
||||
<p class="indent">A patron has long overdue items at check-out/renewal.</p>
|
||||
<p>Renewal limit</p>
|
||||
<p class="indent">A patron checks out an item, and the item exceeds its renewal limit. </p>
|
||||
<p>Closed day/date</p>
|
||||
<p class="indent">An item’s original due date is changed to the next open date because the original date falls on a day closed (<b>Hours of operation</b> parameter) or a date closed (<b>Dates Closed</b> policy table). </p>
|
||||
<h2><b>Warning Messages for Item Statuses</b>
|
||||
</h2>
|
||||
<p>The following item statuses generate warning messages in the upload report:</p>
|
||||
<p>Bindery, Damaged, In-Repair</p>
|
||||
<p class="indent">The item status was Bindery (or Damaged or In-repair) before the item was circulated.</p>
|
||||
<p>Claim</p>
|
||||
<p class="indent">The item status was Claimed missing or Claimed never had before the item was circulated<b>.</b></p>
|
||||
<p>Held</p>
|
||||
<p class="indent">An item with a held status is checked out, and Polaris compares the borrower’s barcode to the requestor’s barcode. If the barcodes are identical, the request status is filled and the request is deleted. If the barcodes are <span class="FM_Emphasis">not</span> identical, the request status remains active. The<b> </b>request is reactivated for the requestor’s barcode. If an item that <span style="font-style: italic;">might</span> fill a hold request is checked in, the item status and the request status become held.</p>
|
||||
<p class="NoteShade"><b>Note:<br /></b>You can suppress holds processing for checked-in items at upload.</p>
|
||||
<p>In-Process</p>
|
||||
<p class="indent">The item status was in-process before the item was circulated.</p>
|
||||
<p>In-Transit</p>
|
||||
<p class="indent">The item status was in-transit before the item was checked out.<br />An item is bound to a hold request, and the item status was in-transit before the item was checked out.<br />The item status was in-transit before the item was checked in. Polaris checks for the destination library and any bound hold request: </p>
|
||||
<ul type="disc">
|
||||
<li>If there is no hold request and the assigned branch is not the check-in branch, send the item to the assigned branch.</li>
|
||||
<li>If there is no hold request and the assigned branch is the check-in branch, nothing needs to be done. </li>
|
||||
<li>If the item is bound to a hold request and the pickup branch is not the check-in branch, send the item to the pickup branch.</li>
|
||||
</ul>
|
||||
<p>Lost</p>
|
||||
<p class="indent">The item status was lost before the item was circulated. Delete the replacement cost for the last borrower.</p>
|
||||
<p>Transferred</p>
|
||||
<p class="indent">The item status was transferred before the item was circulated. The item retains its transferred status, with a hold request status of shipped. Send the item to the pickup library.</p>
|
||||
<h2><b>Messages Related to Reserve Items (Course Reserves)</b>
|
||||
</h2>
|
||||
<p>Library Use Only</p>
|
||||
<p class="indent">A reserve item was checked out offline. The reserve status is On Reserve, and Library Use Only is checked; that is, the reserve item is intended to be used only within the library. The message includes the item barcode and title.</p>
|
||||
<p>Total number of items exceeded</p>
|
||||
<p class="indent">A reserve item was checked out offline. The reserve status is On Reserve and the Total Number of Reserve Items in the Patron/Material Type Loan Limits table has been exceeded. The message includes the patron name and patron barcode.</p>
|
||||
<p>Reserve item checked in</p>
|
||||
<p class="indent">A message is written if a reserved item was checked in. The message includes the item barcode and title.</p>
|
||||
<p>Item linked to more than one course</p>
|
||||
<p class="indent">When a reserve item is checked out offline, and the item is linked to more than one course, the system logs the check-out to the first course listed for the item and writes a message to the log file. The message includes the item barcode, title, and the course name, number, and section of the course credited with the circulation.</p>
