<p>The following table lists serials tasks, the Polaris permissions required to do the tasks, the administrative levels at which they can be set, and the subsystems where the permissions are located. Some permissions required for Serials processing are also used in other subsystems. For example, the Acquisitions permission <b>Create a bib record from acquisitions and serials: Allow</b> is used in both subsystems.</p>

<p>Polaris Administration settings control how Polaris data is categorized, used, and stored, and what functions are available to staff and patrons. You can make most administration settings by two methods: through the Administration Explorer, and through the appropriate workform for a specific record. </p>

<p>Configure your Polaris system to process serials in the way that is most efficient for your organization. Serials processing in Polaris includes:</p>

<p>To review and set Serials permissions:</p>

||||
<p class="NoteShade"><b>Note:<br /></b>Certain System Administration permissions are required to assign permissions. </p>
|
||||
<p class="FM_Step">In the Administration Explorer tree view, select the <b>Security</b> folder for the organization for which you want to set permissions.</p>
|
||||
<p class="indent2">The Security view is displayed in the details pane.</p>
|
||||
<p class="FM_Step">Double-click the <b>Serials </b>folder in the Control Record list.</p>
|
||||
<p class="indent2">The permissions appear under the object folders.</p>
|
||||
<p class="FM_Step">Select the permission.</p>
|
||||
<p class="indent2">The permission groups, staff members, and workstations with that permission appear in the right pane of the Explorer.</p>
|
||||
<p class="FM_Step">Click <b>Assign</b>, and select <b>Permission</b> <b>Group</b> > <b>Workstation</b> or <b>Staff Member</b>.</p>
|
||||
<p class="indent2">The Find Tool appears.</p>
|
||||
<p class="FM_Step">Use the Find Tool to search for and select the staff member, permission group, or workstation to which you want to grant the selected permission.</p>
|
||||
<p class="indent2">The staff member, workstation, or permission group appears in the list of those that have the selected permission.</p>

||||
<p class="FM_Step">Select <b>File > Save</b>.</p>

<p>Use the <b>Route list defaults</b> profile to define the default information that displays in the Route List workform for the organization, workstation, or staff member, and to specify how route slips are printed. </p>

<p>To set up serial route list defaults:</p>

||||

||||
<li value="1">In the Administration Explorer tree view, expand the folder for the organization, workstation, or staff member.</li>
|
||||
<li value="2">Select <b>Profiles</b> and click the <b>Acquisitions/Serials</b> tab.</li>
|
||||
<li value="3">Double-click <b>Route list defaults</b>.</li>
|
||||
</ol>

<p class="indent2">The Route List Defaults Dialog box appears. </p>

||||

||||
<li value="4">Specify the default routing duration by typing a number and selecting <b>weeks </b>or <b>days </b>in the <b>Route Period</b> boxes.</li>

<p class="NoteShade"><b>Note:<br /></b>The routing duration is used to calculate the <b>Return by </b>date that appears on route slips.</p>

<li value="6">Select one of the following print options:<ul><li>Select <b>Batch</b> if the route slip should be printed with all other route slips needed during a serial check-in session. </li></ul><ul><li>Select <b>Automatic</b> to print the route slip as each piece is checked in.</li></ul></li>

<li value="7">Type the instructions for returning the routed piece in the <b>Return Instructions</b> box.</li>

||||
<li value="8">Type the text for the header in the <b>Header</b> box. This is the information that appears at the top of route slip.</li>

If the parameter is set to <b>Yes</b>, when users renew subscriptions a dialog box opens with the <b>Create POs at Subscription renewal</b> option selected. If the parameter is set to <b>No</b>, the dialog box does not appear when users renew subscriptions. </li>

<p>You can use Polaris Administration settings to define the defaults that display on route slips; specify whether route slips are printed in batch or individually; specify a receipt or a regular printer for route slips; and (optionally) set up routing notices to notify members of a route list when issues are routed to them. </p>
|

<p>To print route slips on a receipt printer, the receipt printer must be the default printer for the workstation where staff members do serials check in. If another type of printer is the workstation’s default printer, route slips will be printed on regular 8.5 x 11 inch paper.</p>
|

<p class="NoteShade"><b>Note:<br /></b>The information printed on route slips is defined in the Route List workform, but only the <b>Return by</b> date, the title and designation of the issue, and the list of names appear on the route slip if you use a receipt printer. If you print route slips on 8.5 x 11 sheets of paper, the route list name, owner, return by date, home location, return instructions, and header and footer are printed. <p>To specify how issues are displayed in the Check In workform:</p>

<li value="1">In the Administration Explorer tree view, expand the organization’s folder.</li>
|
||||
<li value="2">Select <b>Parameters</b> and select the <b>Acquisitions/Serials</b> tab.</li>
|
||||
<li value="3">Select <b>Display of issues on Check In</b>.</li>
|
||||
</ol>

||||
<p class="indent2">The Display of Issues on Check In dialog box appears.</p>

||||

||||
<li value="4">Select the status of issues that you want to display in the Check In workform in the <b>Issue status</b> box.</li>

<p class="NoteShade"><b>Note:<br /></b>If you select <b><Not Received></b>, you can define which statuses are included in the Not Received category. See step 5. </p>
