<p>You can add bibliographic records, item records, or patron records to a record set by searching for the records or by scanning item or patron barcodes. For patron record sets only, you can select an Excel file to populate the record set. No data is imported from the Excel file; if the patron ID in the file matches an existing patron record in the Polaris database, the record is added to the record set.</p>

<p>To send all the records in the search results to a record set:</p>

<li value="1">Open the Find Tool.</li>
|
||||
<li value="2">Enter the search criteria on the General tab of the Find Tool, but do not click <b>Search</b> yet.</li>
|
||||

<p class="NoteShade"><b>Tip:<br /></b>If you do not need to see the Find Tool results list before creating the record set, select <b>Count only</b> on the General tab to make sure all the records that meet the criteria you set are included in the record set. If you do not select <b>Count only</b>, the number of records in the record set will be limited to the number in the <b>Retrieval Limit</b> box. </p>

If the owner is an organization, all the organization’s staff members can modify the record set (if they have the appropriate permissions). If you have the permission <b>Use ‘own’ cataloging record sets: Allow</b>, you can create cataloging record sets that no other users can access, including your system administrator. When you create a cataloging record set, your user name will be in the <b>Owner</b> box by default if you have this permission. To allow other users to access the record set, first select a different owner before saving the record set. </p>

To select specific records, click on each record while holding down the <b>CTRL</b> key. To select all the records in the record set, press <b> CTRL+A</b>.</p>

<p><a name="kanchor1736"></a><a name="IX_making_available_from"></a><a name="kanchor1737"></a><a name="IX_overview_4"></a>Record sets gather multiple records of one type together so that you can take action on them all at once. As examples, you can use record sets to:</p>

||||
<li>Make changes to all the records in a patron, item, or bibliographic record set using the Bulk Change process. </li>
|
||||
<li>Add multiple titles to a purchase order or selection list. </li>
|
||||
<li>Publish the URL to a bibliographic record set in the Polaris PowerPAC’s portal page, dashboard, or Web site page as a quick way for patrons to access title lists such as summer reading lists. </li>
|
||||
<li>Sort the records in the record set and print the view for a working list.</li>
|
||||
</ul>

||||
<p>You can create record sets from the Find Tool results list, the Polaris shortcut bar, another record set, SimplyReports. Record sets are also created as part of automatic processes, such as identifying and gathering all unlinked bibliographic records in a record set.</p>

<p><a name="kanchor19"></a><a name="IX_deleting_1"></a>When you delete a record set, the records within the record set remain in the database. A record set cannot be deleted if it is being used (open) by another user. </p>

<p>To delete a record set from the Record Set workform:</p>

||||

<li value="1">Display the record set to be deleted in the Record Set workform.</li>
|
||||
<li style="font-weight: normal;" value="2">Select <b>File </b>><b> Delete</b>. <br /><img src="../../../Resources/Images/DelMenuIcon1.png" alt="" /><br /></li>

<li value="3">A confirmation dialog box appears. Click Yes to confirm that you want to delete the record set. </li>

<li value="4">The Record Set workform closes. The record set is deleted, but member records remain in the database.</li>

<p>You can only undelete records sets if this feature has been enabled by the system administrator. When you undelete a record set, it is restored and its status is changed back to Final.</p>

<p><a name="kanchor2710"></a><a name="IX_deleting_records_from"></a>If you have the required permissions, you can delete a record from the database while it is a member of a record set, but it cannot be recovered (unless your Polaris Administrator has set profiles to retain cataloging records). </p>

<p>To delete records from the Polaris database while they are members of a record set:</p>

<p class="NoteShade"><b>Important:<br /></b>If you want to remove a record from the record set, but keep the record in the database, see <a href="Remove_records_from_a_record_set.htm#XREF_95164_Remove_records">Remove records from a record set</a>.</p>

<li value="1">Display the record set containing the record you want to delete in the Record Set workform.</li>

||||
<li value="2">Select the record or records you want to delete in the Record list.</li>

<p class="NoteShade"><b>Tips:<br /></b>To select records listed one after the other in the list, click with the left mouse button on the first record you want to select, hold down the <b>SHIFT</b> key, and click the last record you want to select. To select specific records, click each record while holding down the <b>CTRL</b> key. To select all the records in the record set, press<b> CTRL+A</b>.</p>

<li value="4">If you are deleting a single record, a confirmation dialog box appears. If you are deleting multiple bibliographic, item, or patron records, the Multiple Object Deletion dialog box appears where (with the required permissions) you can select one or both of the checkboxes to prevent warning messages from displaying. <li value="5">Click <b>Yes</b> to confirm that you want to delete the record or records.</li>

<p>When records are removed from a record set, they are not deleted from the database.</p>
|
||||
<p><a name="kanchor3883"></a><a name="IX_removing_records_from"></a> To take a record out of a record set:</p>

<li value="1">Display a Record Set workform with one of the following methods:</li>

||||

||||
<p class="NoteShade"><b>Tip: <img alt="recsetbtn.gif" style="width: 33;height: 18;" src="recsetbtn_33x18.gif" class="imginline" /> <br /></b>Click this button on the Shortcut Bar to search for a record set.</p>

<li>Use the Polaris Find Tool to search for and open an existing record set.</li>
|
||||
<li>Right-click a record in the Find Tool’s results list, and select <b>Links > Record sets</b> from the context menu (the record must be a member of a record set).</li>

<li>Select <b>Links > Existing > Record Sets</b> from the workform (the record must be a member of a record set).</li>
|

<li value="2">Select the record(s) you want to remove in the Record list.</li>
|
||||

<p class="NoteShade"><b>Note:<br /></b>Use <b>CTRL</b>-click or <b>SHIFT</b>-click to select multiple records. To select all the records in the record set, select <b>Edit</b> > <b>Select All</b>, or press <b>CTRL+A</b>.</p>

<li value="3">Select <b>Tools > Remove</b>, or press <b>CTRL+R</b>, or click <img alt="remrecbtn.gif" style="width: 33;height: 18;" src="remrecbtn_33x18.gif" class="imginline" />. The records no longer appear in the Records list, but remain in the database as individual records. </li>

<li value="4">Select <b>File > Save</b> to save the record set.</li>

<p class="indent2">The following message appears in the status bar: <b>The record set was saved successfully</b>, and the<b> Number of records</b> box shows the number of records in the record set.</p>
