<p><a name="kanchor5178"></a><a name="IX_Administration_settings_1"></a>To set up media dispenser processing in Polaris Administration for the Polaris staff client, Leap, and ExpressCheck:</p>

<br />The media dispenser parameter can be set at the System, Library, or Branch organization level in Polaris Administration. To enable the media unit, you must obtain and enter the full network address or URL of the dispenser unit. Your network administrator determines the network address when the device is installed on your network.</p>

<li value="1">In the Administration Explorer tree view, click the organization to expand the tree view.</li>
|
||||
<li value="2">Click <b>Parameters</b> to display the details view for the organization's parameters.</li>
|
||||
<li value="3">Click the <b>SelfCheck Unit</b> tab in the details view to display the self check unit parameters.</li>
|
||||
<li value="4">Double-click the SelfCheck Unit parameter <b>Media dispenser settings</b>. </li>
|

<li value="6">Click the <b>Properties </b>button<b> </b>to open the Properties dialog box.</li>

<li value="7">On the Properties dialog box, type the full network address or URL of the dispenser unit (100-character limit) in the <b>Network location</b> box, and click <b>OK</b> to close the dialog box.</li>

<li value="8">On the <b>General</b> tab, check the <a href="../PDPreceipts/Setting_Up_eReceipts.htm">material types</a> that can be dispensed by the unit. Select at least one item material type. </li>

<li value="9">(Optional) Check <b>Include dispenser unit location on printed receipt</b>. This option applies to staff client, Leap, and ExpressCheck receipts. Check-out receipts must be enabled for the staff client and Leap workforms, and for ExpressCheck to include this information on a printed receipt. </li>

The default warning message text is <b>Please retrieve items from the dispensing unit</b>. You can customize the message in the text box (250-character limit). If this warning message is enabled, it is displayed for each dispenser item during checkout. The staff member clicks <b>OK</b> to acknowledge the message and continue. </li>

<p>To display an on-screen dispenser acknowledgment message in Polaris ExpressCheck:</p>

||||
<p><a name="kanchor3594"></a><a name="IX_errors"></a>You may occasionally encounter the following conditions and error messages:</p>
|
||||
<ul type="disc">
|
||||
<li><span class="FM_BulletHead">The system finds no matching item in the dispenser unit</span> - The check-out process continues. The item is checked out anyway, because it is assumed that the item is in the case.</li>
|
||||
<li><span class="FM_BulletHead">No response from the dispenser unit</span> - An item is scanned for check-out but the dispenser unit does not respond. In Polaris ExpressCheck, the item check-out fails and a message is displayed (see <a href="Enable_the_media_dispenser.htm#XREF_55037_Enable_the_media">Enable the media dispenser</a>). In the staff client, the following message is displayed: <b>The dispensing unit is not responding. The item may be retrieved manually. Do you want to check this item out?</b> The staff member must select <b>Yes</b> or <b>No</b>. <b>Yes</b> continues the check-out transaction; <b>No</b> stops the transaction.</li>
|
||||
<li><span class="FM_BulletHead">An item will fill a hold request or is already held</span> - There is no change to current program behavior, which depends on library policy. These checks take place before the system queries the dispenser unit.</li>
|
||||
<li><span class="FM_BulletHead">Items in the dispenser may have a status of Held</span> - For example, the empty case may have been on the hold shelf or self-pickup shelf. The Held item is be checked out to the patron according to normal check-out processing. The patron goes through a normal dispenser check-out to retrieve the disc.</li>
|
||||
<li><span class="FM_BulletHead">The item is already out to this patron</span> - Since the item has not gone to In, and so is not in the dispenser, the transaction is a simple renewal.</li>
|
||||
<li><span class="FM_BulletHead">Patron claims not to have an item checked out from the dispenser</span> - Treat this claim as you would any other claim in Polaris.  Staff may have to check the dispenser.</li>
|
||||
<li><span class="FM_BulletHead">Polaris shows that an item is already out to another patron</span> - If library policy allows the patron to continue check-out and the item is in the dispensing unit, the item is removed from the last patron’s record and checked out to the current patron. If the item is not in the dispensing unit, the item is now checked out to the current patron in Polaris but in fact is either still out to the previous patron or is missing. The library should follow its usual practice for trouble-shooting missing items, and if the item is found it should be checked in from the patron record.</li>
|
||||
<li><span class="FM_BulletHead">The dispensing unit has “locked” the item for another patron</span> - At ExpressCheck, this might happen if a patron scans an item case and the check-out is successful, but the patron leaves the case at the workstation and does not retrieve the item. Another patron scans the case, but the dispenser has queued the item for the first patron. The ExpressCheck workstation then displays a message: <b>The dispensing unit is holding this item for another library member. The item cannot be checked out. Please contact a librarian.</b> You can edit the message in Polaris Language Editor (string ID <b>EC_TEXT_CHECKOUT_ERROR_DISPENSER_BIND</b>).</li>
|
||||
<li><span class="FM_BulletHead">Multi-part sets</span> - The recommended practice is to have a separate item record for each part. If one item barcode is attached to a multi-part set, ExpressCheck has no provision to define or display an alert message for multi-part sets. In the staff client, if the item record contains a blocking note to check for multiple parts, the note is displayed as usual.</li>
|
||||
<li><span class="FM_BulletHead">Post check-out error conditions</span> - These situations may occur after Polaris processing is complete:</li>
|
||||
<li><span class="FM_BulletHead">Check out is successful but the patron does not claim disc</span> - The transaction is complete in Polaris. The dispenser unit has a time out. Trouble-shooting for the dispenser unit is possible by examining the dispenser queue.</li>
|
||||
<li><span class="FM_BulletHead">Check out is successful but the wrong item is dispensed</span> - This might happen if an item is incorrectly loaded. The patron must contact library staff, who must examine the dispenser unit.</li>
|
||||
<li><span class="FM_BulletHead">Check out is successful, but no item is dispensed</span> - This might happen if the item material type is not correctly entered or identified. The patron must contact library staff, who must examine the dispenser queue.</li>
|
||||
<li><span class="FM_BulletHead">Check out is successful, but the DVD case already contains another item</span> - This might happen if the correct item was not loaded into the dispenser unit. The patron should return the item to library staff.</li>
|
||||

<h1><a name="kanchor2594"></a>Media Dispenser Circulation</h1>
|
||||
<p>The Polaris staff client, Leap, and Polaris ExpressCheck support circulation from media dispenser units. These units consist of a tower of dispensers, each holding up to 100 media discs (DVDs, CDs. Blu-Ray discs). </p>
|
||||
<p>To queue the media in the dispenser, a staff member or patron scans the item barcode on the empty case. When the system finds a matching barcode in the unit, and there are no blocks preventing the item's circulation, the patron scans her barcode into the media dispenser unit to retrieve the item. </p>
|
||||
<p>Polaris supports one media dispenser unit (one network address) per location (branch organization). At each branch, multiple staff client, Leap, and Polaris ExpressCheck workstations can connect to the location’s unit.</p>
|
||||
<p>The Polaris integration that enables circulation via a media dispenser is available by separate license. Polaris ExpressCheck workstations and the Polaris ExpressCheck application are also available to your library by separate contract. <br />The media dispenser can be used with or without RFID.</p>
|
||||
<p>With the few exceptions noted below, circulation processes from the Polaris staff client, Polaris Leap, or Polaris ExpressCheck do not differ from normal procedures.</p>
|
||||
<p><b>Polaris Staff Client and Leap</b>
|
||||
</p>
|
||||
<p>Patron authentication and checking for patron and item circulation blocks occur as in normal check-out processing, before the system checks for dispenser items. Then, when an item is scanned and a material type is detected that has been identified for dispenser processing by the check-out workstation’s branch, Polaris queries the dispenser unit specified in the Network location setting for the workstation’s branch. If a matching item barcode is found in the dispenser unit, the item check-out continues. If you have opted to display a message to staff, a message is displayed for each dispenser item checked out.</p>
|

<p>Bulk check-out, which is used when processing items for Outreach Services and Borrow by Mail, also supports dispenser circulation. If a dispenser item is encountered during bulk check-out, a message is displayed and the item is checked out.</p>
|
||||
<p><b>Staff Client and Leap Receipts</b>
|
||||
</p>
|
||||
<p>At the end of the patron’s check-out process, the printed receipt includes the text defined for the workstation’s branch in Polaris Administration. The text is printed after any library custom text. If you have chosen to include the dispenser location, this information is included for each item checked out, indicating the dispenser and slot number for the item.</p>
|
||||
<p><b>Offline Processing</b>
|
||||
</p>
|
||||
<p>The dispenser unit can be queried in offline mode and the check-out can continue.</p>
|
||||
<p><b>Check-In</b>
|
||||
</p>
|
||||
<p>Establish the appropriate procedures with library staff for loading checked-in items into the dispenser and reshelving the empty cases. Other than this workflow, no special conditions or exceptions apply to dispenser items when they are checked in.</p>
|
||||
<p><b>Holds</b> </p>
|
||||
<p> The check for hold requests happens before the check for dispenser material type. The item may become Held before being assigned to the dispenser. Staff can re-assign the item after it becomes Held, depending on policy.</p>
|
||||
<p><b>Floating items</b> </p>
|
||||
<p> The check for floating happens before the check for dispenser material type. If the item can float in, the system then checks the dispenser material type. Dispenser items may float to another branch. If no dispenser controls have been defined at the receiving branch, there is no change and the item circulates normally. If dispenser controls have been defined at the receiving branch, the item behaves according to that branch’s dispenser settings.</p>

<p>Lost, missing, and other status transitions to In - If the check-in message has been enabled and the material type matches a material type defined for the dispenser unit, the check-in message is displayed as usual.</p>
|

<p><b>Polaris ExpressCheck</b>
|
||||
</p>
|
||||
<p>As in the staff client, patron authentication and checking for patron and item circulation blocks occur as in normal check-out processing, before the system checks for DiscXpress items. Then, when an item is scanned and a material type is detected that has been identified for DiscXpress processing by the check-out workstation’s branch , Polaris queries the dispenser unit specified in the Network location setting for the workstation’s branch. If a matching item barcode is found in the dispenser unit, a message is displayed on the check-out screen . At the end of the check-out session, the dispenser acknowledgment message is displayed. The patron must acknowledge the message to continue. If the message is not acknowledged, the process times out as in any other check-out.</p>

<p><b>ExpressCheck Receipts</b>
|
||||
</p>
|
||||
<p>If the patron opts to print a receipt or if the receipt prints when the patron selects Exit, the system uses the receipt text specified for the workstation branch . If the option to print individual receipts for each item has been enabled for the ExpressCheck unit, the message prints at the end of each item in the dispenser unit. If you have chosen to include the dispenser location this information is included for each item checked out, indicating the dispenser and slot number for the item.</p>
